Full Job Description

Assignment Focus:

The Office Manager will assist the brokerage with all financial activities. The position is responsible for processing daily commission checks, all phases of accounting up to but not including tax preparation with a high level of accuracy. As the Company continues to grow so will this position and your responsibilities.

 

Primary Responsibilities:

Accounting

  • Process daily commission checks for brokers in a timely and efficient manner.
  • Process payables including the coding of invoices (with assistance from Management Team), input into accounting system and cutting checks weekly.
  • Assist with accounts receivables and the monthly broker billing process, including the receipt of payments.
  • Enforce/modify policies and procedures as necessary for proper accounting controls
  • Supervise company credit card use and reconciliation.

Financial Reporting

  • Reconciliation of all balance sheet accounts monthly and creation of journal entries.
  • Perform timely and accurate month end activities.

Cash Management

  • Prepare daily cash flow report
  • Ensure all accounts maintain positive balances at all times.
  • Review pending Account Receivables monthly to ensure accuracy on report

Other

  • Human Resources knowledge and Operations experience a plus
  • Discuss financial planning and standardized best practices with real estate agents
  • Know and discuss various types and forms of production-based trainings
  • Lead the office with assistance from Management Team in team meetings and trainings
  • Social media posts
  • Assist Management Team in leading top producing agents to greater production levels

Job Requirements:

  • College Degree preferred, three years or more of accounting experience required, real estate experience is desirable but not required.
  • Detail oriented with excellent customer service and client relationships skills.
  • Physical requirements, such as lifting, reaching, bending, carrying, walking, sitting, etc are required.
  • Ability to establish and maintain positive working relationships with vendors, employees, and brokers.
  • Ability to work independently with minimal supervision.
  • Ability to work at faster pace with frequent interruptions.
  • To perform the job successfully, an individual must be able to perform each essential duty satisfactorily.
  • Travel may be required
  • High level of computer skills including all Google & Office apps
  • Ability to work with proprietary software and platforms
